Question

Card Payments

We have had a number of complaints from customers that when they use the card payment portal in QB via PayPal for our services, the transaction is being dealt with by their bank/card issuer as a 'Cash Advance' rather than a service payment.  One customer was told that its because of our 'Merchant Code' and another because it was "the way we set up credit card payments" (Obviously we have not setup anything its all done through QB).

Anyone had this?

Any ideas on how to resolve it ?

It can be challenging when customer payments appear as cash advances. One possible reason for this issue may relate to the configuration of your PayPal payment settings. I’d like to guide you through the process to ensure your accounts are set up correctly, Bill.

Since all transactions, including customer invoice payments, are influenced by your mapping settings, please follow these steps to verify that your accounts are correctly configured:

  1. Navigate to the Apps section.
  2. Select the Find apps tab.
  3. Search for Accept Card Payments with PayPal.
  4. Click Settings.

For detailed explanations of each setting, refer to this article: Accept Card Payments with PayPal app in QuickBooks Online.

Let's also review your past transactions to confirm they are categorized correctly. If your customers continue to experience issues with their card payments being treated as cash advances, I recommend contacting our live support team. They have the resources to investigate and identify the root cause of the problem.

I've included this article that provides information on how to categorize transactions you download from your bank or manually enter into QuickBooks: Categorise and match bank transactions in QBO.
