You can do this directly in your app by going to the Menu, selecting Invoice, then tapping on the invoice you want to settle. After that, click More and then hit Receive Payment. Review the payment details and hit Save.

If you're using your web browser, there are a couple of ways. First, you can do it in the invoices screen, follow the steps below:

    1. Navigate to All apps, select Sales & Get Paid, and click Invoices.
    2. Find the unpaid invoice in your list.
    3. In the Action column, click Receive payment.
    4. In the pop-up panel, fill in the following details:
      • Payment Method: Select how the customer paid you.
      • Deposit to: Choose the specific bank account the money went into (or "Cash").
      • Amount: Ensure it matches the amount received (you can enter a partial amount if they only made a partial payment).
    5. Click Save (or Save and close). The invoice status will instantly update to Paid.

Second, if you are already looking at your dashboard and want a universal shortcut. Go to the + New or + Create button in the top left corner. Under the Customers column, select Receive payment. In the Customer dropdown, choose the client who paid you.

QuickBooks will automatically display a list of all its outstanding transactions at the bottom. Tick the checkbox next to the specific invoice(s) you want to mark as paid. Check that the Deposit to bank account and the Payment date are correct, then click Save and close.
