In QuickBooks Online (QBO), if an invoice shows as Paid but the funds haven't reached your bank account, the reason usually depends on whether you used QuickBooks Payments or recorded the payment manually.

If your customer pays through QuickBooks Payments, the money is processed by Intuit before being deposited. New accounts can take up to 5 business days for the first few deposits. Once your account is established, deposits will process more quickly.

If you manually clicked Receive Payment, your money might be sitting in a virtual holding area in QBO. Check if the payment was sent to the Undeposited Funds account instead of your bank account.

To fix this, click + New > Bank Deposit. If you see the payment listed, select it. Choose your bank account at the top and select Save and Close to deposit it into your QBO bank register.

For detailed guidance, you can refer to this article: Find missing payments you want to deposit in the Bank Deposit window.
