Question

Can I match a receipt to multiple credit card payments? I want to scan a receipt from UBER that has two charges to Visa, one for the trip and one for the Tip.

I want to keep a copy of the receipt in QB, but hoping to avoid having upload the same receipt to multiple visa transactions. Thought about using a bill vs. a receipt, but haven't used bills at all so not sure of the workflow.

To handle this, we recommend using the Single-Attachment Workflow, which connects both your expenses to one receipt for audit purposes, @Don-Boresky.

First, let's attach the receipt to the main trip charge.

  1. Go to Transactions, then Receipts.
  2. Upload the Uber receipt image using the Upload tool or the Receipt Snap app in QuickBooks Online.
  3. In the Receipts tab, QuickBooks will suggest a match for the receipt. Click Match to link it to the largest transaction (the main trip cost) downloaded from your credit card.

Next, categorize the tip and add a note.

  1. Go to Banking, then Bank transactions.
  2. Select your Credit Card account.
  3. Find the separate, smaller Tip transaction in the For Review tab.
  4. Click the transaction and fill in the fields.
  5. Select the correct expense account (like Travel Expenses).
  6. Payee: Enter "Uber."
  7. Note (Memo Field): Write a reference like: "Tip for Uber trip on [Date]. Receipt attached to the main charge of [Amount] matched today."
  8. Click Add to record the tip.

I see you considered using a Bill. While the Bill is flexible, they’re specifically for tracking Accounts Payable (money you owe) before you make a payment. Since both the trip charge and tip were immediately paid with a credit card, using the Expense and Banking workflows is faster and avoids extra steps in your bookkeeping process.
