Can we manage bookkeeping without interfering with the client’s AP workflow in the same QBO instance?

Hi, I have a client who uses their own QBO instance to issue payments to vendors and prefers to retain control of their AP process. We are proposing to manage their bookkeeping within the same QBO account. Can you confirm if this setup is feasible without disrupting their AP workflow? Are there specific user roles or permissions we should configure to avoid overlap or errors?

In QuickBooks Online (QBO), you can manage bookkeeping tasks efficiently while maintaining distinct user roles to avoid interference with the Account Payable (AP) workflow, Technology1.

 

You can assign predefined roles to users , determining their access and actions within the company file. However, these roles, such as Standard access with limited permissions for customers and suppliers, are fixed and do not provide an option to specifically exclude access to AP workflows if you're using the regular QBO versions. These roles are offered as bundled packages that may still provide limited visibility into AP-related features.

 

But if you're using QuickBooks Online Advanced (QBOA), the platform offers the ability to create custom roles. With custom roles, you can limit the user's access to AP processes such as entering bills or making payments. Keep in mind, though, that users assigned to this custom role can still view Bills and Bill Payments, even if they cannot modify or create them.

 

Assuming the user was already added, follow the steps outlined below on how customize the role.
 

  1. Navigate to the Manage Users page in QBO and click Edit next to the specific user you want to modify.
  2. In the View All Permissions section, locate the Expenses category.
  3. Uncheck all boxes under the Expenses section to remove the user's ability to interact with AP workflows. Please note that even with these boxes unchecked, the user may still be able to view Bills and Bill Payments.
  4. Create a Custom Role to better tailor their permissions for your needs.
  5. Once finished, click Save to update the user's access.
