Hi SKGFinancialManagement.

When you connect your bank to QuickBooks Online, the number of transactions downloaded depends on your bank, some provide up to 90 days, while others offer up to 24 months. If you need older transactions, you can manually upload them.

Before uploading, make sure your file is:
 

  • In English and under 350 KB.
  • Either QBO, QFX, or CSV format.
  • Organized with 3 columns (Date, Description, Amount) or 4 columns (Date, Description, Credit, Debit).

Ensure zero values in Amount, Credit, or Debit columns are left blank, remove numbers from the Description column, and format all dates uniformly (e.g., dd/mm/yyyy). If the Date column includes the day of the week, separate it into another column. Files can only contain up to 1,000 lines, with one transaction per line.

To upload transactions manually, go to the Bank Transactions page, select the account tile, click the Link account dropdown on the right, and choose Upload from file. Follow the prompts to import your data.

Once uploaded, stay on the Banking transaction page to match, categorize, and reconcile transactions to ensure accuracy.
