How to make my customer pay the invoice processing fee in the right way?

You can charge invoice processing fees to your customers, depending on your payment setup and how they pay in QuickBooks Online. With QuickBooks Payments, you can enable Surcharging to automatically pass processing costs to customers for credit cards or ACH bank transfers.

 

How to set up:

 

  1. Click the Settings icon, then select Account and settings.
  2. Head to the Sales tab.
  3. In the Invoice Payments section, click Edit.
  4. Turn on Percentage based surcharging and choose Credit card, ACH bank payments, or both.
  5. Review and agree to the compliance/legal terms (surcharge laws vary by state), then click Save.

 

Note: If you don't see the surcharge option, QuickBooks Payments hasn't enabled it for your account yet.

If your customer prefers ACH bank transfer, use this dedicated setup instead: Add a convenience fee to customer invoice payments made by ACH bank transfer.

 

If surcharging isn't available on your account, or you'd rather charge a fixed fee, add it as a line item instead:

 

  1. Go to the Gear icon, then Product and services.
  2. Select the New product/service option, then choose Service.
  3. Name it "Processing Fee" and map it to the right account.
  4. Add this item as a line on the invoice with the fee amount.
