Question

QB DESKTOP, Paying Finance Charges

We are using QB desktop 2024.

We are emailing invoices w/ PAY button.  Problem is when we issued Finance Charges, there is no link to pay the invoice.  Customer can’t pay for this online.

 

Is there a way to get around this?  So the customer isn’t paying $0.79 for a stamp to issue a check for $0.95.

QuickBooks Desktop generates finance charges as standard invoices. Because of how the finance charge assistant compiles them, they often lack the embedded Pay Now button that regular invoices get.

 

To bypass this and let your customers pay small balances, you can use QuickBooks Desktop's Payment Links feature. This lets you generate a standalone secure checkout link for a specific amount and email or text it directly to them.

 

  1. Go to the Customers menu and select Payment Links.
  2. Enter the exact finance charge amount and a short description.
  3. Select the customer from the dropdown and verify their email address.
  4. Choose the allowed payment methods (Credit Card or ACH) and click Send Payment Link.

 

Once the customer pays online using this link, the funds will arrive as a Customer credit in your system. You can then easily open the original finance charge invoice and apply this credit to clear the balance.

If you prefer the customer to pay the actual invoice directly, you'll need to manually toggle the online payment feature on the invoice after the system automatically generates it.

 

  1. Open the generated Finance Charge Invoice from the customer's profile.
  2. In the payment section of the invoice screen, manually check the box for This customer can pay online.
  3. Save the changes and email the updated invoice to the customer. The PAY button will now be active.
