I’m currently on an Advanced trial in the US version. I want to switch directly to Essentials before billing starts, while keeping all my current data. Possible?

I don't think you can do that. You'll have to pay the first month in full before downgrading to Essentials. Alternatively, try converting your data to QB Desktop file format and then converting it to Essentials.

Yes, it's possible to switch from QuickBooks Online (QBO) Advanced to Essentials during your trial period, and you can keep all your current data, mwanglucie812. I'll share more insights about this.

 

Please be informed that the features available in Essentials are limited compared to those in Advanced. As a result, you may lose access to certain tools or functionalities based on your account usage.

 

When you downgrade, here's what happens:

 

  • Data and Features: If you used features like inventory tracking, class and location tracking, or custom fields, those features will no longer be available in Essentials. Your historical data related to these features will still exist, but you won't be able to use the features for new transactions or run reports on them in the same way.
  • Inventory: If you have been using this feature in your Advanced trial, you will need to take steps to deactivate your inventory items before you downgrade. When you do, the quantity on hand for these items will be reset to zero. It's highly recommended to run and export a report of all your products and services beforehand to have a record of your current quantities.
  • Batch processing: Features like batch invoicing will be removed.
  • Smart reporting: Advanced-specific reports may no longer be available, but basic reporting will remain.
  • Users: Essentials supports fewer users (up to 3 vs. 25 in Advanced). If you have more users than Essentials allows, access for extra users will be restricted.

 

To downgrade your product, please follow these steps:

 

  1. Sign in to QuickBooks Online as a primary or company admin.
  2. Go to the Gear icon, then select Subscriptions and billing.
  3. Ensure your payment info is up to date.
  4. In the QuickBooks Online section, select Downgrade your plan.
  5. Review the available plans and then select Choose plan.



  6. Follow the onscreen steps to downgrade your plan.
