Logged in, but not logged in

Using Desktop 2021 nonprofit premier plus edition.

 

Each time I open QB it logs me in. (As to why, that's another discussion.)

 

Every couple of weeks a screen pops up and says, "You have not logged in over 55 days" - or some other number. It then takes several minutes before it lets me do anything else while also generating a screen which tells me all the supposed benefits of being logged in. The irony here, while amusing at first, got old quick.

 

I'd like to disable this annoyance.

 

Any insights as to how to do so would be appreciated.

Let me provide some information on why login issues occur, NormnM1.

 

When multiple users are accessing the same Company File on the same computer, one user has to explicitly log off before another user can sign in. If a user accidentally doesn’t log off, another user can access the Company File without having to enter their username and password, as long as they are using the same Windows user account. And this is also one of the reasons why you're getting a screen pop-up errors.

 

Thus, we recommend the Admin does not enable this option or require users to log in using separate Windows user accounts. To change your preference setting, you can follow the steps below:

 

  1. Go to the Company menu.
  2. Select Set Up Users and Passwords.
  3. Then choose which option you want under the Choose Manage Login Settings section.

The message you're seeing isn't about your Company File login, it's an Intuit Account sign-in reminder, which is a different kind of "login," so the multi-user steps above won't apply to you as a solo user. This prompt appears when QuickBooks Desktop hasn't connected your Intuit Account for a stretch of time, and it's trying to get you to sign in to enable connected services. Here's how to quiet it down.

First, separate the two kinds of login

  • Company File login is the username/password for your QuickBooks data file (what the multi-user steps above refer to).
  • Intuit Account sign-in is the account that ties your QuickBooks Desktop to online services and your license. The "you haven't logged in for X days" screen is this second one.

Ways to stop the recurring reminder

  1. Sign in once and stay signed in. The reminder generally appears when the Intuit Account session has lapsed. Signing in from Help, then Manage My License / your Intuit Account (or the sign-in prompt itself) and staying signed in usually stops the repeated nagging.
  2. Check the Company sign-in setting. Go to Company, then Set Up Users and Passwords, then Manage Login Settings, and review whether it's set to keep you signed in. Adjusting this changes how often QuickBooks asks you to sign in.
  3. Make sure QuickBooks is up to date. Older builds of Desktop 2021 showed these sign-in reminders more aggressively; installing the latest release for your version can reduce them.

An honest note on your version

QuickBooks Desktop 2021 reached the end of its support life (Intuit discontinued the 2021 versions after May 31, 2024), so it no longer receives updates, and some connected-service prompts can't be fully turned off on a discontinued version. If the reminder can't be dismissed for good, that end-of-life status is likely part of why. If it's disrupting your work, the durable fixes are to move to a supported QuickBooks Desktop version or to QuickBooks Online.
