Question

Please how can I create a template in Bank transactions screen a regular deposit that is spilt between 4 lines and different categories to just alter the amounts

I am using this for the same customer each time. Any suggestions greatly apprected

QuickBooks Online doesn't currently let you create a reusable template for a split bank deposit directly from the Bank Transactions screen. You can, however, use Bank Rules to automate recurring patterns.

 

Here’s how:

 

  1. Navigate to Rules under the Accounting menu, select New rule, name it, and set it to Money in.
  2. Set the rule conditions to look for your customer's name within the bank description text.
  3. Change the Transaction Type to Deposit, then select Add a split until you have 4 separate lines assigned to your 4 categories.
  4. In the Split by dropdown, choose either Percentage or Amount depending on what fits your business.
  5. Click Save to finalize the rule and apply it to your bank feed.

 

If the amounts vary each time, you’ll still need to adjust them manually, but the rule will pre-fill the usual categories and payee for you.

Thank you for your prompt reply. I tried setting this up but was unable to save it without adding an amount .  The amounts I enter  will be different each time and sometimes I will not use all the lines.  Should I just put in a token amount but then will I be able to alter it as needed.

Yes, you need to enter an amount to save the Bank Rule, as it is required before the rule can be created. Using a small placeholder amount (such as £0.01 or £1) on each split line is a good workaround.

When the Bank Rule applies to a transaction in your bank feed, you cannot easily edit the amounts or delete extra lines directly from the For Review screen because the predefined split lines are locked.
