Question

Auto Rules and Auto Adding Intuit Transactions when they keep changing numbers in bank memo

I have an issue where I have a large account that uses QuickBooks Merchants and Payroll.  I used to be able to auto add Money in as Income and Noney out as transaction fees.  The client has since added payroll so now my auto add doesn’t work anymore and I have to manually go through hundreds of transactions a month to separate because the auto rule will not pick up on the bank memo because it has a generated random number in between intuit and targeted purpose such as tran fee, tax or payroll.  To explain better, auto rule will not add in a transaction unless information is consecutive.

Any suggestions on how to auto add these from the bank feed if intuit is putting a random number in between?

Let's edit each of your existing bank rules and change the condition from Is Exactly to Contains, then use just the consistent part of the description as your keyword, such as TRAN FEE for transaction fees, PAYROLL for payroll transactions, or INTUIT for anything coming from Intuit broadly. The Contains condition only needs to find that keyword anywhere in the description, so the random number in the middle won't matter anymore.

Just keep in mind that if you want your fees, payroll, and deposits going to different accounts, you'll want a separate rule for each using the more specific keyword so they route correctly. Also, you can put a check mark on Show bank details on the Bank Transactions page to see the raw bank text alongside the description, compare that to the condition text in your rule, and adjust it so it matches the field you actually need.

Here's how:

  1. Go to All apps, then Accounting, then Bank transactions.
  2. Click the Gear ⚙ within the Bank transactions section.
  3. Select Show bank details.
