How do I fix duplicate bank transactions in QuickBooks Online after migrating from QuickBooks Desktop?

Just converted from Desktop to QBO and downloaded Bank Transactions. Many of them were duplicated when added, so now we have a ton of duplicate transactions. What's the easiest way to rectify this such as deleting them all from the register and re-downloading?

The fastest fix is to identify each duplicate and remove the extra copy, but don't delete the transactions from the register and re-download, because that will just bring the same duplicates back. The right approach is to exclude the extra copies from the bank feed, or undo and match them if they've already been added.

 

Step 1: Confirm you're looking at true duplicates

Sign in to your bank's website and check your statement. If a transaction appears once on the bank statement but twice in QuickBooks, it's a duplicate in QuickBooks. If it appears twice on the bank statement, the charge really happened twice and you'll want to talk to your bank instead of editing your books.

 

Step 2: Check whether your bank account was connected twice

  1. Go to All apps, then Accounting, then Bank transactions.
  2. Review the connected accounts listed. Confirm the affected bank account appears only once.
  3. If it was accidentally connected as a second account, disconnect the extra connection and make that account inactive in your chart of accounts. Keep the original account and its history intact.

Important: do not disconnect and reconnect the bank account to try to fix the issue. Reconnecting causes QuickBooks to re-download past transactions and creates more duplicates.

 

Step 3: Find the duplicates

  1. Go to All apps, then Accounting, then Chart of accounts.
  2. Select View register next to the account you want to review.
  3. Use the Filter to set your date range, then select the Amount column to sort so identical amounts line up for comparison.

 

Step 4: Remove the extra copies

Where the duplicate is located determines how you remove it:

  • If it's still in the For Review tab: Go to Bank transactions, select the For Review (or Pending) tab, check the box for the extra copy, and select Exclude. If you exclude the wrong one by mistake, go to the Excluded tab, check the box, and select Undo.
  • If it was added from the bank feed: Go to the Categorized (or Posted) tab, select the link in the Added or Matched column, select Undo to send it back to For Review, then exclude it or match it to the existing record.
  • If it was entered manually in the register: Go to Chart of accounts, select View register for the account, find the duplicate, select More, then Delete.

Once a downloaded transaction is either accepted or excluded, QuickBooks stops the bank from downloading it again. If you delete an accepted transaction without first excluding its bank feed copy, QuickBooks will download it again.

 

How to prevent duplicates going forward

  • Match downloaded transactions to existing records rather than adding them as new transactions.
  • Connect each bank or credit card account only once.
  • When importing a file, make sure the import starts after the newest transaction already in QuickBooks.
  • Reconcile monthly to catch duplicates early.

The system will detect if there's a possible match transaction in your bank feed. When they do, you can match them by clicking it and selecting Match.

  2. Select the Tile where the duplicate transaction is associated.
  3. Click the transaction that has matches found. 
  4. In the Match section, confirm if the details are the same.
  5. Once confirmed, click Match.

Nope. You're misunderstanding me. This is AFTER the bank transactions have already been added to the register. Now we have a ton of duplicate transactions in our bank register. Is there a way to correct this easily, such as deleting them all and re-downloading bank transactions?

Yes, we can remove transactions that have already been recorded in the bank register,  however, they need to be managed manually. It's essential to ensure that you back up your data before conducting extensive deletions to prevent the risk of data loss. Below, I'll detail the procedures involved.

 

For transactions already in the register that are duplicated, here's how:

 

  1. Go to the Bank transactions menu.
  2. Click Go to bank register on the right corner.
  3. Find the relevant bank account and click on it.
  4. Look for duplicate transactions. You can sort transactions by date or amount to make this easier.
  5. Then, choose Delete.

If you need to remove all recently downloaded transactions to start fresh, you would typically need to exclude them all and then manually delete recorded duplicates.

 

Here's how to exclude transactions:
