Need to reconnect bank accounts every day

I have 2 separate accounts under my QBO login...one is for business, one is for personal accounts. I have the same bank (TD Bank) with different accounts for each and recently every day I have to reset my bank connection with TD Bank...It had not happened like this for over a year but now it happens all the time....What can be done to prevent this? Would consolidating my 2 accounts (business and personal) into one help?

Hello there, @mbpros. Let's figure out the cause of why your bank accounts are being disconnected in QuickBooks Online (QBO). 

 

Usually, this will happen once your two TD bank accounts have the same login. If you connect your personal bank account, your business bank account will be disconnected, and vice versa. To prevent this, note that you can only connect one bank account in QBO and manually upload transactions for the one account. Beforehand, make sure to switch to an Accountant view before following the steps below.

 

  1. In Transactions, choose Bank Transactions and select the account blue tile where you want to upload your transactions. 
  2. Click the Link account dropdown and hit Upload from the file. 
  3. Take Drag and drop or select files then select the file you transferred from your bank, then click Continue. 
  4. Select the account you want to upload the transactions in the QuickBooks account dropdown and choose Continue. 
  5. Pay attention to the onscreen process of matching the file columns with the correct fields in QuickBooks and choose Continue.
  6. Decide what transaction you wish to import and click Continue, and Yes, then select Done. 

 

 

However, if your bank account has different login credentials, checking any notifications or alerts regarding this issue on your bank website is recommended.

Thank you...I do have one web login for TD Bank for all of my accounts...business and personal....but also a separate login for just business...So I'll try using the separate TD Bank logins and see if that helps!

This happens because the same TD Bank login is connected in two separate QuickBooks Online companies, and your bank allows only one active connection for that login. So each time one company refreshes, it takes over the single connection and knocks the other one loose, which is why you're reconnecting every day. You're on the right track with your own idea: the durable fix is to give each company its own bank login.

1. Use a separate bank login for each company

Since you already have a business-only TD Bank login in addition to your combined one, connect each QuickBooks company to a different login so they aren't competing for the same connection:

  • In the personal company, keep one TD login connected.
  • In the business company, reconnect using the separate business-only TD login.

When you reconnect and TD asks which accounts to share, choose All Accounts (or Consent All), even if you only use some of them, so the authorization isn't narrowed. It also helps to have one person manage the bank connections.

2. If separate logins aren't possible, connect the bank in one company and import the other

If both companies must use the same login, connect the feed in just one company and bring the other account's transactions in manually so the two aren't fighting over one connection:

  1. In the company you're importing to, go to Transactions, then Bank transactions, and select the account tile.
  2. Select the Link account dropdown, then Upload from file.
  3. Upload the CSV, QBO, QFX, or OFX file you downloaded from TD Bank and select Continue.
  4. Choose the QuickBooks account to import into, map the file columns to the correct fields, pick the transactions, and finish.

About consolidating the two companies

Merging your personal and business books into one QuickBooks company would technically remove the conflict, but it isn't recommended: mixing personal and business activity makes your reports and tax preparation harder and blurs the separation you generally want between them. Keeping them in separate companies and fixing the connection with separate logins (or manual import) is the cleaner approach.
