It shows I have a money to deposit from 4 months ago. But it has already been cleared in the statement.

QuickBooks Desktop automatically places recorded customer payments into the Undeposited Funds account until you deposit them into your chosen bank account. Since these were recorded in a previous period, entering a new one now will result in duplicates and disrupt your account balances. To fix this, we will move the payment out of Undeposited Funds using a zero-sum deposit, clearing the item without affecting your reconciled bank account.

 

Here's how:

 

  1. Go to Banking, then choose Make Deposits.
  2. Select the payment from four months ago in the Payments to Deposit window and click OK.
  3. Make sure you choose the correct bank account in the Deposit to dropdown.
  4. Below the payment, add a second line item. Set the Account to the bank where it was originally categorized and enter the amount as a negative number.
  5. Ensure the Deposit Subtotal amount shows $0.00.
  6. Once done, click Save and close.

 

This clears the pending payment from Undeposited Funds without affecting your bank balance or past reconciliations. Also, it is best to consult your accountant when doing so to ensure that your books remain accurate and compliant with the tax laws.
