When QuickBooks Online shows a beginning date that's earlier than what your history records, it usually means something changed in one of those completed reconciliation periods (such as a transaction being edited, deleted, or unreconciled) that caused the system to revert to the last clean balance. The fix is to find the change using the Reconcile Discrepancy Report, correct it, and then continue reconciling from where you left off.
Step 1: Check the Reconcile Discrepancy Report
This report is the fastest way to find out exactly what changed and when.
- Go to All apps, then Accounting, then Reconcile.
- Select your bank account from the dropdown.
- If your beginning balance is showing an earlier date than expected, you'll see an alert: "Your account isn't ready to reconcile yet. Your beginning balance is off by..."
- Select We can help you fix it to open the Reconcile Discrepancy Report.
- Check the What happened column for each flagged transaction; it will show whether a transaction was deleted, edited, or voided, and who made the change.
- Select Review in tray to see the full details, or select View History for a complete audit trail.
- Follow the suggested correction for each item, or make your own based on your records.
Make a note of the exact dollar amount your balance is off by before you start, as the changes you find should add up to that amount.
Step 2: Check for deleted or voided transactions in the audit log
Some changes, specifically deleted or voided transactions, won't appear in the Reconcile Discrepancy Report. To catch those:
- Go to Settings, then Audit log.
- Filter by the bank account and the time period since your last completed reconciliation.
- Look for any transactions that were deleted or voided during that window.
- If you find one, re-enter it with the correct details and mark it as reconciled in the account register by clicking the checkmark column until it shows an R.
Step 3: Check for manually reconciled transactions
A transaction reconciled directly in the register, outside of a normal reconciliation workflow, can also shift your beginning balance without appearing in the discrepancy report. To check:
- Go to All apps, then Accounting, then Chart of accounts.
- Find your bank account and select View register.
- Filter by Reconcile status and look for any transaction marked R that falls after the date of your last completed reconciliation.
- If you find one that shouldn't be there, change its status back to uncleared and reconcile it through the normal reconciliation process instead.
If the discrepancy report shows nothing, try clearing your browser cache
If the report is clean and your beginning balance still looks right in history but QuickBooks is displaying the wrong starting date, this can sometimes be a browser display issue. Try opening QuickBooks Online in an incognito or private browser window. If the correct date appears there, the problem is with your browser's cached data.
