It's frustrating to lose your place right after doing the work of picking Business or Personal, especially when the category it lands on isn't the right one. This is how the categorization step is designed to work, though, even though it can feel like the transaction just vanished. As soon as you select Business, Personal, or Split, QuickBooks treats the transaction as categorized and moves it out of the list you were working from. It applies its best-guess category at the same time, which is why you sometimes see the wrong one before you've had a chance to pick your own.
Fix the category after the fact
The transaction isn't lost, it's just been marked reviewed. You can go back and correct the category at any time:
- Go to the Transactions menu.
- Find the transaction you want to edit.
- Select the ▼ icon to expand it.
- Select the link in the Type or Category column.
- Choose the correct category, then select Save.
On the mobile app, select the Reviewed tab, find the transaction, select Edit, and change the details or category from there.
Prevent it from happening again
If you'd rather not correct categories after the fact each time, you can set up rules so recurring transactions get categorized correctly the moment they come in, without relying on QuickBooks' best guess:
- Select Settings, then Rules.
- Select Create rule.
- In the Description field, enter the vendor or customer the rule should apply to.
- From the Type dropdown, select Business, Personal, or Split, and choose a category if you want QuickBooks to categorize it automatically.
