Question

Can I match an April bank transaction to a March expense that was already reconciled in a closed period, without affecting the March reconciliation?

I have an expense dated 01/03/2026 that was previously matched to an April bank transaction dated 23/04/2026 for $500. We had to undo the entire April reconciliation due to some issues we found. After undoing, the March expense is no longer appearing as a match option for the April bank transaction. March is a closed period (BAS lodged) so changing the expense date triggers a warning about affecting the March reconciliation. What is the correct way to re-match these without affecting the closed March period?

Since the expense is already reconciled, it has already been accounted for and balanced against your past statement. QuickBooks Online automatically hides these entries to prevent accidental duplication, so the easiest move is to exclude the downloaded transaction.

    1. Go to All apps, then Accounting.
    2. On the Bank transactions page, select the Pending tab.
    3. Tick the box of the transaction, then click Exclude.

If you prefer to link them, you can temporarily unreconcile the expense. Then, match and lock it back down. This ensures your previous opening and closing balances stay exactly as they were. Since the date isn't being altered, your historical reports and lodged BAS remain untouched.

    1. Go to the Chart of Accounts and select View Register.
    2. Find the expense transaction marked with an"R", click it, and change the status to blank by clicking the field.
    3. Hit Save.
    4. Match the transactions in the bank feed.
    5. Go back to the register, then change the status back to "R".
