Question

Can you change the default Advanced search headers to always show Description? The Memo/Description column does not show the description information from the invoice.

It can only be found by using the filter and type something that might be on the invoice description. Then open each invoice and read the description several times until you find the correct invoice

I appreciate you providing the details, @89720624.

In QuickBooks Online, the Memo/Description column in Advanced Search displays the text written in the Memo on statement field of the invoice, but it does not display the line-item description entered under the Products/Services section. The line-item descriptions are meant for reporting purposes and aren’t visible in the Memo/Description field. This feature is only available in the QBO Advanced subscription.

If you’re using QBO Advanced, you can view the line-item descriptions by running the Transaction Detail by Account Report, which allows you to customize columns to include the Memo/Description. Here’s how to customize the report:

  1. Go to the Reports menu and search for Transaction Detail by Account.
  2. Open the report and click Columns.
  3. Under the More Columns section, ensure the Memo/Description in the Line items is selected.              image.png

However, if you are not using QBO Advanced, you can manually copy and paste the line-item description into the Memo on Statement field in the invoice as an alternative. This will ensure the description is visible when searching in the Memo/Description column.
