We understand the importance of having a copy of your payroll forms in our program. Let us share some insights about this matter. In QuickBooks Online (QBO), once you close your account, you'll still have view and read-only access to your records that will last for a year. If so, you can still access your W-2s and W-3 forms. You'll want to refer to the steps below to access them.
Select Taxes, then Payroll Tax.
Click the Filings tab.
View your tax forms under Upcoming Filings or select Archived Forms and Filings.
Choose the date range you need, or search the forms you need.
Click the word View on the form you want to print.
If you want it printed, hit the print icon on the Reader toolbar.
However, you can no longer access your account and payroll forms if your read-only access has expired. We recommend contacting our Payroll support team to get help with your payroll forms.
