Question

Cannot file form 940

When I try to file form 940, I receive the message "We can't sent this filing yet.  You have an unresolved overpayment between 1/1/25 and 12/31/25.  Before you print and save form 940, please resolve your overpayment."  However, I do not have an overpayment as per preview of form 940.  Balance due in box #14 is blank.  But the system thinks there is an overpayment of 940 tax somewhere.  How to resolve this?

Hi there, dc109.

We understand how important it is to file Form 940 during tax season. Since you encounter an error message when filing and verified that there was no overpayment on the account. We suggest connecting to our support team. They’re equipped to securely access your account and review to figure out the issue and help you resolve it.

Here’s how to contact our support team:

  1. Sign in to your QuickBooks account.
  2. Select the Help (?) icon.
  3. Go to the Search tab, then click the Contact Us button.
  4. Type your concern in the What can we help you with? field, then click Continue.
  5. Select how you want to connect with our experts.

For more details about our support hours, check out this article: How to get help with QuickBooks.

While we work on resolving the error message, we suggest filing your Form 940 outside of QuickBooks Online to avoid delays. You can use the Payroll Tax and Wage Summary Report as a reference to ensure the information on your filing is accurate.

Here’s how:

  1. On the left side of your screen, click Reports. Then, Standard reports.
  2. In the Type report name here, type Payroll Tax and Wage Summary Report. Then click.
  3. Adjust the date range to cover the current tax year or the specific filing period for Form 940.
  4. You can also export it by selecting either Export to Excel or Save as PDF at the top.

This report includes essential details such as wages paid and taxes withheld, which are required for completing your Form 940.
