Change the number of pay periods

Hi, I have some employees who want to be paid over 26 pay periods and some who want to be paid over 20 pay periods (we're a small private pre-school that operates 10 months of the year). Is there a way to change this? Quickbooks currently assumes everyone is on the automatic 26 period schedule. Thanks

Yes, you can create multiple pay schedules in QuickBooks Online to handle different groups of employees. Here’s how you can set up a new one for your 20-pay-period employees and assign it to them:

 

  1. Navigate to My apps on the left menu.
  2. Select Employees under the Payroll section.
  3. Select an employee and click Edit on the Employment details.
  4. Click the Pay schedule and choose Add a pay schedule.
  5. Select a Pay frequency. Since a 20-period schedule isn't a standard option, you can select Every other week or Twice a month option, as it provides the correct number of pay periods over 10 months.
  6. Enter the first pay period end date and the pay date, then click Save.

 

After you've created the new schedule, you can assign it to the correct employees:

 

  1. Go back to the Employees tab.
  2. Select an employee who needs to be on the new 20-period schedule.
  3. Under Employment details, click Edit.
  4. In the Pay schedule dropdown menu, select the new added schedule.
  5. Click Save. (Note: You'll want to adjust their pay rate to be their yearly salary divided by 20 so they are paid correctly throughout the school year).
