How do I fix inaccurate mileage tracking in QuickBooks Online, and add a trip manually?

Why trips come out missing or inaccurate

This is almost always a setting on your phone, not an issue with your QuickBooks account. Here's what to check.

  • Auto-tracking is on: on iPhone, open the app, go to Settings, then Mileage, and select Auto-track your miles. On Android, go to Settings, then Mileage, and turn on Auto-tracking, allowing location access "all the time" plus physical activity access when prompted.
  • The app can run in the background: on iPhone, set the app's Location permission to Always (not "While using the app") in your device settings, and turn on Motion & Fitness, Background App Refresh, and Cellular Data. On Android, follow your phone manufacturer's steps for letting apps run in the background, since this varies by device.
  • Nothing's blocking it: Wi-Fi hotspots can throw off trip accuracy on Android while you're driving, and antivirus or battery-saving apps can interrupt tracking on either platform, so add QuickBooks to your approved or ignore list if you use one.
  • Everything's up to date: update both the QuickBooks mobile app and your phone's operating system. iOS needs version 12.2 or later.

 

You can check your tracking status anytime: open the app, go to Settings, then Mileage, and review the checklist (Troubleshooting on iOS, Avoid missed trips on Android). A green check next to every item means you're all set.

 

Adding or fixing a trip manually

If a trip is missing or the details are off, you don't have to rely on auto-tracking alone.

  1. Go to All apps, then Expenses & Bills, then Mileage.
  2. Select Add trip.
  3. Enter the trip date, starting and ending locations, distance, and purpose.
  4. Select the vehicle you used.
  5. Select Save.

 

To fix a trip that's already there, find it under the Mileage menu, select it, choose Business or Personal for the type, then select More, then Edit, to update the location or distance.

If you notice missing or inaccurate trips, review the general location settings on your phone or tablet. Then, ensure that the QuickBooks mobile app can operate in the background.

 

If you don’t allow the app to run in the background, it only tracks trips when it's open and active on your screen. Please note that you can only track mileage if you're logged in as a user with admin privileges for the company file.

 

When you're ready, let me assist and guide you through the troubleshooting steps. Here's how to enable auto-tracking on your Android device:

 

  1. Launch the QuickBooks mobile application.
  2. Choose the menu ☰  icon and then select Mileage.
  3. Next, turn on Auto-tracking switch

The answer did not solve my problem. When I MANUALLY enter my mileage the app is not saving the data and it repeatedly sets the date to be August 7th regardless of what date I enter. If I don’t resolve this I am not happy to pay for this service anymore.

When you use QuickBooks Online (QBO) to track mileage, it'll automatically log your business trips. However, issues can possibly occur due to these potential causes:

  • No mobile data
  • GPS tracking is turned off
  • It is in low battery saving mode
  • The application isn't open in the background

Moreover, ensure that your QuickBooks Mobile app is set to operate in the background. This way, it can continue tracking your trips even when it's not visibly open on your screen. Here's how:

For IOS

  1. Go to your iPhone or iPad's Settings.
  2. Scroll down and select the QuickBooks app.
  3. Select Location. Then select Always.
  4. Turn on the Motion & Fitness, Background App Refresh, and Cellular Data options.
  5. Close your settings.
  6. If you see a message about background location use, select Always Allow.

Your device and app are now set up to track trips in the background. Switching to a different app shouldn't interrupt mileage tracking.

For Android

As Android devices use different operating systems, the steps to follow can differ based on your specific device. Refer to Google's instructions to ensure QuickBooks is set to run in the background. Please know that connecting to a Wi-Fi hotspot while driving may disrupt the accurate recording of your trips.
