Question

I have a timesheet that says processed but there are no payruns. Where do I find the payrun?

The timesheet has been incorrectly categorised to the wrong pay item so I need to edit it but it says it has been processed but we have not processed any payruns yet.

To clarify, does "processed" mean your timesheet has been approved? If so, please remember that approval does not guarantee inclusion in the current pay run.

 

Additionally, approved timesheets cannot be edited directly. To make changes, you will first need to revert them to an unapproved status.

 

Here is how to do that:

 

  1. Go to All apps.
  2. Select Time, then Approvals.
  3. Find the entry you want to unapprove, then select Unapprove next to the team member's name.
  4. Confirm by selecting Unapprove and unlock time.

 

Once your timesheets have been rejected, you can easily edit them.

 

To locate your pay runs:

 

  1. Go to All apps and hover over Payroll.
  2. Select Employees.
  3. Scroll down to the Pay run section.

When I go to "all apps", I don't see time, as an option. Is this under another sub-heading?

 

We don't have any payruns yet. This is our first employee and first pay run. The timesheet has been approved, but incorrectly. Why doesn't this guarantee that it is included in the payrun?

Congratulations on hiring your first employee and preparing for your very first pay run. The possible reason you don't see the Time option under All Apps is that a QuickBooks Time subscription hasn't been added to your plan yet. As soon as that feature is active, it will automatically be included on your main dashboard.

You can confirm whether this feature is added by going to your Subscription and Billing tab and checking whether QuickBooks Time is listed as active on your account.
 

To help you update that incorrectly categorized timesheet and fix the pay item, you can open that specific employee's entry directly. Here is how:
 

  1. Go to Reports from the sidebar menu.
  2. Search for and open the Time Activities by Employee Detail report.
  3. Find the employee's incorrect time entry.
  4. Click on the entry to open it and make your corrections.

 

Regarding why the hours don't show up in the pay run, approved timesheets don't automatically go straight into a pay run. Because you need to pay your employee for the time they worked, you need to start a new payroll run for that timesheet. It will make approved hours display under your Pay Run tab.
