Moving payroll and bookkeeping to a new Accountant. Both use QB desktop version. New Accountant needs to run payroll for employees this week. How to reassign payroll service to new accountant?

To help you transfer payroll responsibilities to your new accountant, you'll want to send them your live company file, and depending on who pays for the subscription, they can enter your company EIN to link your existing subscription to their system, or they'll add your EIN to their own firm's account plan, which will generate a new Service Key to activate payroll in your file.

 

To get started, create a backup of your QuickBooks Desktop (QBDT) company file ending in .qbw and securely share it with your new accountant.

 

If you own the subscription, your accountant can link your existing subscription by entering your company's EIN and ZIP code, so they can run payroll right away.

 

  1. Your accountant opens your .qbw file on their computer.
  2. They go to the Employees menu, then Payroll.
  3. Select Use My Existing Payroll Service.
  4. They enter your company's EIN and ZIP code to link your existing subscription to their system so they can run payroll immediately.

 

If you're moving to the accountant's payroll plan, they can add your company's EIN to their account.

 

  1. Your accountant opens your .qbw file.
  2. They go to the Employees menu, then Payroll.
  3. Use My Existing Payroll Service and have them select their own firm's account.
  4. QuickBooks will prompt them to add your EIN to their plan, which will generate a new Service Key to activate payroll in your file.

 

If you pay employees via Direct Deposit, ask your old accountant if they were listed as the Primary Principal on the account. If they were, you or your new accountant must submit a Primary Principal Change Form to Intuit immediately to prevent this week's payroll funds from being blocked.
