Payroll Liabilities are not showing as due for current payroll

I ran payroll on 6/24/25 and the payroll liabilities are not showing.

Overpayment or incorrect calculation of paycheck taxes (resulting in zero tax) can be the reason why the current payroll is not appearing in the Payroll Liability window, Dmartinez.

 

An overpayment can occur if you have made custom payments or directly paid the previous payroll checks and manually edited the taxes. QuickBooks will hold the overpayment until you run a new payroll and then apply it to that payroll run. This will continue until the balance reaches zero. Once that happens, it will generate payables again, making them visible in the payroll liability window.

 

You can run the Payroll Liability Balances Report to verify the overpayment. If the amount is negative, it means that liability was overpaid. You have two options to correct this: either wait for QuickBooks to catch up with your taxes or create a manual liability adjustment to fix it immediately. If this is not the case, double-check your paycheck taxes to ensure they are calculated correctly. If they are zero, check the following for solutions:

 

  • If you haven't issued the current payroll check yet, you can correct it by deleting and recreating it.
  • If it has already been issued, wait until QuickBooks catches up or make a liability adjustment.
  • If it is highlighted in yellow, right-click the yellow paycheck and select Revert Paycheck.
