When a payroll direct deposit reversal is successful, does QBO update the employee’s payroll records, or is a manual correction required?

When a payroll direct deposit reversal is submitted in QuickBooks Online Payroll and the reversal is successful, does QBO automatically update the employee’s payroll records to reflect that the funds were reversed? For example, does QBO make any correction or adjustment to the employee’s profile/paycheque history, or do I need to manually adjust the employee’s payroll records after the reversal is confirmed?

No, QuickBooks Online Payroll does not automatically update the employee's records or paycheque history when a direct deposit reversal is successful. You must manually void the paycheque in QBO to correct your payroll history.

 

How to void the paycheque:

 

  1. Go to Payroll and select Employees.
  2. Select the Paycheque list and filter by the dates to find the paycheque.
  3. Find the line item for the reversed payment, select the dropdown arrow under the Action column, and choose Void.
  4. Follow the on-screen prompts to confirm and save the change.

 

Please note that only void the paycheque after you have verified that the reversal was successful. If the reversal succeeded, you will see the funds credited back to your bank account within 7–10 business banking days.

When a direct deposit reversal is successful in QuickBooks Online Payroll, the system does not automatically update or void the original paycheck for you. The reversal only pulls the funds back from the employee's bank account -- the payroll records still need manual correction on your end.

Once you receive confirmation from Intuit that the reversal succeeded, here is what our team recommends doing:

  • Locate the original paycheck in the Paycheck list (Payroll > Employees > Paycheck list).
  • Open the paycheck and select Delete or Void, depending on your payroll version and whether the check is from a prior quarter.
  • If the paycheck is from a closed tax quarter, use the Void Paycheck option rather than Delete, so the correction is dated correctly for tax reporting purposes.
  • Re-run the paycheck with the corrected amounts if the employee still needs to be paid, or leave it voided if the original was issued in error.

If the reversal was only partial (for example, the bank could not recover the full amount), void the original paycheck and create a new manual check reflecting only what the employee actually received, so year-to-date totals stay accurate.

Always wait for the official reversal confirmation email from Intuit before voiding or deleting anything. Reversals can take several business days, and acting too early will throw off your bank register and payroll liabilities.
