Write off Ex-employee advance in QB Desktop

I have an employee that was laid off in July 2025.  I just noticed that he has an outstanding balance of $540.00 on his employee loan.  Apparently QB desktop payroll lost the memorized transaction at some point so the weekly funds were not coming out.  My question is “How do I write this unpaid balance off in QB Desktop?”

Thanks for reaching out to the QuickBooks Community! I will be delighted to assist you. To answer your question, you could write off the uncollected $540.00 loan balance using a General Journal Entry. This method clears the asset from your balance sheet and moves the loss to an expense account. However, I strongly recommend consulting your accountant for guidance with the posting accounts. They'll know whether this needs to show up on the employee's W-2 or any other tax document.
