Question

How do I add fonts to list of fonts available for forms? Previously used Gill Sans, but lost in upgrade. Have font files on computer, but QB can't seem to access them.

Welcome to the Community, joan17.

 

The option to add fonts to fonts to the list of fonts is unavailable in QuickBooks. However, you'll have the option to customize your form templates and from there, change the font you'd like. I'll show you how:

 

  1. Go to the Lists menu and select Templates.
  2. Double-click the template you'd like to modify.
  3. Click the Change Font button and select the font style you'd like.
  4. Click OK, and then OK.

The following instructions will surely achieve your goal to use the Gill Sans font style on your forms.

Thank you for your reply.  I know how to customize my forms using Layout Designer.  I am using an invoice form that I created using Layout Designer that has worked well for me for about 9 years and that used Gill Sans font for some of the text of the invoice.  

 

The issue is NOT with choosing a font that QuickBooks has listed, but with doing what it is suggesting I do.  When I print an invoice, a pop-up dialog box appears that states, "The form you are about to print specifies the font [Gill Sans MT] which is not installed on this system.  You may wish to install the font.  Click OK to print anyway, or Cancel to skip printing this form."  I used the Gill Sans font in my invoice until I upgraded to QB Desktop Pro 2020.  The new program can't find the font.  

 

I am using a MacBook Pro with a Parallels system that supports Windows on a Mac, so that I can use Quickbooks for Windows.  The Gill Sans font set is installed on my Mac, and although the operating systems share multiple files, it is possible that I need to also "install" the Gill Sans font set in my Windows system.  I was just checking to make sure that the "system" to which QuickBooks is referring is not just QuickBooks, and that there is a straightforward way to place the font in a location where it can be found by QuickBooks.

Yes, you're correct. You also need to install the Gill Sans font set in your Windows system. QuickBooks Desktop Pro will adapt the specifications in Windows where your company file is located. This way, you'll be able to use the said font while printing invoices. Let me guide you how.

  1. Open the Windows settings.
  2. Select Personalization.
  3. Click the Fonts tab.
  4. Select the Get more fonts in the Microsoft Store link to start the download process. Fonts will automatically install and appear in the settings.
  5. Once downloaded, If fonts are zipped, right-click on the file, then select Extract All.
  6. Follow the instructions to put the font into the folder you choose.
  7. After extraction, right-click on the file, then select Install.

 

Once done, open your company file. Then, print an invoice again.

I'm having the exact same issue two years later using QB Desktop 2022. Was the issue ever resolved?

"The form you are about to print specifies the font [Gill Sans] which is not installed on this system. You may wish to install the font. Click OK to print anyway, or Cancel to skip printing this form."

I figured out how to work around font issues in QB desktop Enterprise. The PDF generator (Microsoft XPS) seems to fail w/in QB when fonts are installed as .OTF. I reinstalled my font as a .TTF and PDFs generated correctly. I did have to go in and reapply all the fonts in the layout designer. Hope this helps!
