Question

can we make a recurring journal entry that is able to calculate commission and tax over a received amount. Commission is our income, which is taxed. Remainder for client

we are a property management business who recently switched from Desktop to QBO. We could no longer use desktop due to country restrictions. In Desktop we had a recurring entry that calculated our income over received rent, tax and the amount payable to the client. The imported journal entry does not seem to be able to do this but it is crucial. Any ideas?

Recurring journal entries in QuickBooks Online only support fixed amounts and not formulas. It doesn't automatically calculate commissions, apply tax, or split variable payouts. As a workaround, you'll have to enter those amounts manually every time.

Alternatively, use a recurring invoice or sales receipt to automatically calculate tax on your commission once sales tax tracking is enabled. Since amounts vary, set it up as a Reminder or Unscheduled template so QuickBooks Online prompts you to update the amounts each period. Here's how:

  1. In Products & Services, set up two service items. Create Commission (marked as taxable and linked to your commission income account) and Client Funds (marked as non-taxable and linked to a liability account, since this money belongs to your client).
  2. Go to the Gear icon and select Recurring transactions.
  3. Click New, then choose Invoice or Sales Receipt.
  4. Name your template, and set the Type to Reminder or Unscheduled.
  5. Select Commission item on the first line, then enter the amount.
  6. Choose the Client Funds item on the second line, and enter the remaining amount.
  7. Click Save template when you are finished.
