already subscribed to the Projects feature for tracking project-based income and expenses. However, when posting transactions, I’m not able to see

I have already subscribed to the Projects feature for tracking project-based income and expenses. However, when posting transactions, I’m not able to see all the relevant income and expense categories available for selection. Could you please check this and advise how I can ensure that all the relevant income and expense accounts are available when posting project transactions?

In QuickBooks Online, missing categories usually happen because an expense account isn't set up correctly in your Chart of accounts or because your Products and services items are mapped to the wrong income accounts.

 

When logging an expense, QuickBooks only pulls accounts designated as expense types. To ensure your accounts are properly configured:

 

  1. Click the Gear icon in the upper-right corner.
  2. Select Chart of Accounts.
  3. Look for the accounts that represent money spent on your project.
  4. If an account needs adjustments, click the dropdown arrow under the Action column and select Edit.
  5. Ensure the Account Type and Detail Type are correctly set as an Expense, and the account is not marked as inactive.
  6. Click Save.

 

To assign an existing expense to your project:

 

  1. Go to All apps in the left navigation menu.
  2. Select Expenses & Bills and then choose Expense transactions.
  3. Locate the expense that is associated with the project.
  4. Under the ACTIONS column, click View/Edit.
  5. In the Category column, select Expense Account.
  6. In the Customer/Project field, make sure you are picking the specific Project name.

 

When posting income to a project through sales transactions like invoices, QuickBooks relies on your Products and services list rather than letting you select the income account directly. If an item is mapped to the wrong account, project revenue won't track correctly.

 

To fix this:

 

1. Click on the Gear icon located in the upper right corner.

2. Select Products and services from the menu.

3. Locate the items you use for project billing and click Edit under the ACTIONS column.

4. Under the Category section, check the type of Products/services you need to include when creating an invoice.

5. Review the dropdown menu in the Income account field to ensure it is linked to the correct income category.

6. Check the box that says "Also update this account in historical transactions" to refresh your past postings on the project dashboard.

7. Finally, click Save.

 

Once these settings are aligned, all your relevant accounts will populate smoothly when posting transactions. Let me know if you run into any questions along the way!
