QuickBooks Online (QBO) automates approvals and other business processes by creating a multi-condition approval workflow, giving you greater control over bills, invoices, purchase orders, and other transactions. Please note that this feature is available exclusively in QuickBooks Online Advanced.
Here's how:
Go to Gear icon, and under Tools, select Manage Workflows.
Choose an approval template from the available options.
Enter a workflow name or keep the default, then define the conditions that require approval. For example, you can set conditions for transactions exceeding a specific amount or originating from a third-party app.
Use the + Add condition button to apply additional rules for approvals.
Once your conditions are set, select Save and Turn On to activate the workflow.
If transactions are created using third-party apps, imports, batch entries, or receipt capture, QuickBooks will automatically send them into pending approval, there’s no need to send them manually. Approvers can also bulk approve transactions directly from the tasks checklist or list pages, saving more time.
