Thanks for bringing this up to the Community space. Let me share some details about the Chart of Accounts.
If you want to delete an account from the Chart of Accounts in QuickBooks Online, it can't be deleted. However, you can make it inactive, so it will not show on the list.
Before doing so, make sure the account balance is 0 to make it easier to inactivate it. If the account still has a balance, you can create a journal entry to move the remaining balances to another account. Also, some accounts require extra steps before you can make them inactive. Here are the things that you have to take note:
If you have recurring transactions linked to the account, you will need to unlink them.
If the account has subaccounts, you can't delete it. In such cases, you need to move the subaccounts to a different account on your Chart of Accounts.
Afterwards, you can now inactivate the account. You can follow the simple steps below for your reference:
Click the Gear icon, then select Chart of Accounts.
Locate the account you want to inactivate.
In the Action ▼ dropdown, select Make inactive.
However, if this is not the case and you want to delete the entire Chart of Accounts, I recommend purging your account and starting over again. This way, all accounts will be deleted, and all information entered in QuickBooks.
Additionally, if you want to pull up the active transactions, you can remove the inactive accounts from your financial reports.
You're always welcome to comment back if you have other concerns about inactivating an account in the Chart of Accounts or have any inquiries with QuickBooks. We're ready to help you and address all your concerns so you can manage your account seamlessly. Have a great day!
