To keep track of an employee's Rostered Day Off (RDO), you will first need to set up an RDO leave category. This allows QuickBooks to keep a running balance of the hours they earn.
 

Here is how to set up the leave category:
 

  1. Go to Payroll Settings, select Leave Categories, and click Add.

  2. Name it "Rostered Day Off" or "RDO".

  3. Set an External ID if you sync with an external timesheet or leave request system.

  4. Choose the Leave Category Type from the dropdown to determine how it behaves for accruals and reporting.

  5. Set the balance to Tracked so QuickBooks keeps a running balance.

  6. Configure the Payment Setup for how it pays out when taken.

  7. Click Save.
     

Since the accrual is not a standard automatic formula, you will add the extra earnings manually during each pay run:
 

  1. Open Payroll, go to Pay Runs, and select the relevant pay period.

  2. Click Actions in the bottom right and choose Add earnings.

  3. Select the RDO leave category, enter the extra hours worked and the rate, add a note, and click Save.
     

This builds the tracked balance during each pay period. When the employee takes their RDO, simply record it against the same leave category to draw down the balance. The employee's payslip and your leave balance report will always show the correct RDO hours on hand.
