I need the help to create a Cash receipt to issue to customer for the money received in advance for which invoice is not yet created.

Hello there, RA03. Since you don't have an invoice yet, the best process is to first create a Liability Account for those funds. Once that is done, you can create a Sales Receipt to provide to your customer. This ensures the money is tracked as a deposit rather than immediate income.

 

To create a Liability account for those funds, you can follow these steps:

 

  1. Go to All apps, select Accounting, then select Chart of accounts.
  2. Select New.
  3. In the Account name, enter the customer's name for the cash advance.
  4. From the Account Type dropdown, choose Other Current Liabilities.
  5. From the Detail Type, choose Trust Accounts - Liabilities or Other Current Liabilities.
  6. Once done, click Save.

 

Next, create a deposit service item:

 

  1. Navigate to Settings (⚙️) and select Products and Services.
  2. Click the dropdown arrow New product/service, then choose Service.
  3. Name the item Deposit.
  4. Scroll down and click the dropdown arrow in the Income account field.
  5. Select the Customer Deposits account you just created.
  6. Click Save and close.

 

Now you can issue the proof of payment to your customer:

 

  1. Select + Create and choose Sales Receipt.
  2. Select the Customer name.
  3. In the Product/Service column, select your Deposit/Retainer item.
  4. Enter the amount received and select Cash as the payment method.
  5. Click Save and send to email the receipt to your customer.
