Question

Using QBO app on iPhone all my attachment for expense receipts have disappeared. Where have they gone? Can I find them somewhere?

This has happened before but random attachments were missing. This time all have vanished. Are they in my desktop version? Does anyone know where I can find them?

It's unusual for uploaded receipts to suddenly disappear from your app, as files shouldn't vanish on their own.

 

In the meantime, you can perform general troubleshooting. These simple steps often resolve many common issues. Here's how:

 

  1. Switch between Wi-Fi and mobile data to check your connection.
  2. Close and restart the app.
  3. Power off and restart your device.
  4. Uninstall and reinstall the QuickBooks mobile app.
  5. Check for updates in the App Store or Google Play Store and install the latest version.
  6. Update your device operating system to the latest available version.

 

To find them, check your audit log to see if anyone made changes or deleted transactions. You can log in via a web browser or the online desktop version to check whether the attachment is there, and open your expense receipts to see if the files are already linked.

 

  1. Go to the Gear icon.
  2. Select Attachments and review.
  3. Then, from All apps, click Expense & bill and select Expense transaction.
  4. Check each one to see if it was attached.

Thank you. I can do all that but the photos of my expense receipts have mostly gone on my desktop version. I only checked the other day that they all had attachments. These are the only records I have as I disposed of the paper receipts trusting QBO to keep them. Now I’m in trouble

I understand how important it is to keep your expense receipt attachments intact in QuickBooks Online (QBO) so you can access them whenever you need to. I’m here to help you get this sorted out.

 

Whenever you upload an attachment, whether through the QBO mobile app or the desktop version, QuickBooks saves it securely in your system. If a receipt is no longer showing on a specific expense, it may have simply become detached. You can easily fix this by manually re-linking it to the transaction.

 

How to Re-link an Existing Attachment:

 

  1. Go to All apps, click Expenses & bills, and select Expense transactions.
  2. Choose the specific expense transaction you want to update.
  3. Click the Show existing option within the transaction window.
  4. From there, you will see a list of the previous attachments you have saved.
  5. Find the correct receipt and click Add to link it.
  6. Click Save and close.

 

Once you are done, it is a good idea to check your Audit Log to see if another user made changes or deleted any transactions. You can also log in via a web browser or the desktop app to verify all your links:

 

  1. Click the Gear icon.
  2. Select Attachments.
  3. Review your files.
  4. Under the LINKS column, you will be able to see exactly which transactions each file is attached to.
