Hello,I need to create a user who can enter journal entries only, but cannot access the Chart of Accounts, payroll, or salary-related accounts.What role or permissions

Hello, I need to create a user who can only enter journal entries for bookkeeping purposes. The user should not be able to view or edit the Chart of Accounts, payroll information, or salary-related accounts. Is there a way to restrict access to specific accounts while still allowing journal entry posting? What role or permissions should I assign?

Hello, Amer. You can create a custom role that limits a user's access, allowing them to only create or view Journal Entries, while keeping the rest of your financial data private within your company. The only catch is that this feature is exclusive to the Advanced plan. If your plan is under Plus, Essentials, or Simple Start, you may consider upgrading to Advanced to utilise this feature.

 

Once you're ready, we can begin setting it up by heading over to the Gear icon in the upper-right corner of the dashboard and selecting Manage users. From there, you can then enter the required information to invite your user. Within the Assign roles dropdown, select +Add new role to create a custom profile. You can then provide a name and an optional description for the role.

 

Let's scroll down a little to view a list of available permissions that you can select. Since we're looking for Journal Entries only access, we can directly locate the Accounting tab and expand by clicking the right-facing arrow beside its name. From there, you can tick the box for Journal entries and review the pop-up reminders. To finish, click Grant Access and then Save.

 

Upon completion, an email invitation will be sent to the user. Once they accept the invite and link to your account, they will have full access to the customised role and permissions you defined.
