Question

how do i know if my QB online has already filed and mailed the w-2's? i am the employeer. As well as an employee of my business & making sure there isnt something to do

Do i need to file w-2 forms or will Quickbooks automatically do it and mail them

    Welcome to the Community, tyler64.

     

    QuickBooks Online Payroll can automatically pay your payroll taxes and file your forms. You can choose to automate these tasks, pay and file electronically yourself within QuickBooks, or handle them manually outside the software. If you sign up on or after November 15, 2025, you won’t have the option to turn off Automated taxes and forms.

     

    Here's how to review which method you're currently using:

     

    1. Use your Gear icon to go to Settings, then access Payroll Settings.
    2. From the Tax and forms section, click your Pencil (Edit) icon.
    3. Review which method you're using. You'll see Automate taxes and forms, I'll initiate payments and filings using QuickBooks, or I'll pay and file the right agencies through their website or by mail.

     

    You can also change your filing method from that settings screen. I'd recommend reviewing our Set up payroll taxes & forms article for detailed information on filing methods.

     

    You'll received an email confirmation when sending your tax filings through QuickBooks Online Payroll. If you didn't get it, or need to manually check the status of filed payroll tax forms, you can view it from your Filings page.

     

    Here's how:
     

    1. Go to Taxes, then Payroll Tax.
    2. Click Filings.
    3. Select Filter.
    4. Choose a form or report you want to see. You can also scroll down to the filings under Done. You'll see the status next to your tax name. If you don't see the filing on this screen, go to Archived forms and filings.

     

    From the employee's end, they can view and print their W-2s and other documents from QuickBooks Workforce.
