Question

How do I move uncleared checks form a previous software and accounting periods into QBO? I assume I enter each check but where do I post them to?

While there isn’t a direct process for migrating uncleared checks from previous accounting software and periods into QuickBooks Online (QBO), you can manually enter these transactions using the Expense or Check features, Sheldonm.

Beforehand, prepare your QBO account first. Confirm the starting bank balance in QuickBooks, ensuring it matches the ending balance from your previous software (excluding uncleared checks).

Then, when recording those transactions as an Expense or Check entry, input all the necessary check details. Here’s how:

    1. In your QBO account, navigate to the +Create icon and choose Expense or Check.
    2. From the transactions page, enter the payee’s name and set the original date of the entry.
    3. Select the bank account tied to the checks and its amount.
    4. Then, use the expense category or item based on the check’s purpose.
    5. Review all details, then click Save and Close.

If you’re unsure to which posting account these checks will be recorded, I recommend reaching out to your accountant. They can further provide guidance to ensure the accuracy of your books.

Once done, verify all entries created. These checks will remain pending in the Bank Register until cleared with your bank during the reconciliation process.

I’d also suggest comparing the transactions in your QuickBooks register against your actual bank statement from your previous software to ensure accurate records.
