Question

im told " The IRS rejected 196 of your filing because one or more of your contractor’s addresses is invalid" .. BUT there is nothing wrong with the addresses, any ideas?

    Even if everything looks correct in QuickBooks, the IRS will still reject your filing if the data doesn't perfectly align with IRS records; often due to missing ZIP+4, abbreviations, or non-US formats. You'll need to void the rejected forms in QuickBooks, double check and update contractor details (names, EINs/SSNs, addresses) to match IRS records exactly, then re-file them as originals (not corrections), ensuring your own company info also matches the IRS for a successful resubmission. Here's how to get this resolved:

     

    1. Identify the Rejection Reason: Check the 1099 filings section in QuickBooks for the specific error codes, which point to which contractors or company info is mismatched with IRS data.
    2. Void Rejected Forms: In QuickBooks, go to your 1099 filings and void all the rejected forms to clear them out before re-filing.
    3. Verify Contractor/Company Info:
      • Contractor Details: Go to the Contractor's profile and ensure their name, address, and Tax ID (SSN/EIN) are entered exactly as the IRS has them, without abbreviations.
      • Your Company Info: Double-check your company's legal name and EIN/TIN in QuickBooks; it must be an exact match to IRS records.
      • Address Format: Ensure ZIP codes are complete (ZIP+4), states are correct, and no non-US addresses are used for US filings.
    4. Re-file: Once all information is confirmed correct and updated in QuickBooks, prepare and re-file the 1099s. These are treated as original submissions, not corrections, by the IRS when re-filed after a rejection, according to Intuit's support.
