Question

Hello, I have a trial balance on cash basis, which does not balance ! Any ideas why please ?

When I run the TB in cash basis I realise that things like AR, AP are going to be different. But the Net Income in Equity section naturally changes also and should in effect balance everything out. Any ideas why both balance sheet and trial balance reports could be showing as not balancing ?

You are dealing with data corruption, broken cash-basis mapping, or manual journal entries touching control accounts.

 

To fix this, you will need to apply unapplied customer payments. Follow these steps:

 

  1. Click the + Create menu.
  2. Select Receive Payment.
  3. Choose the customer name.
  4. Check the boxes to match open credits to outstanding invoices.
  5. Hit Save and close.

 

Next, apply unapplied vendor credits:

 

  1. Click the + Create button.
  2. Select Pay Bills.
  3. Choose the specific bill you want to pay by ticking its checkbox.
  4. Review the Credit Applied column. If it needs adjustment, update the amount in that field.
  5. Hit Save and close.

 

Additionally, review journal entries for Accounts Receivable (AR) and Accounts Payable (AP). Entries without linked payments can create cash-basis issues and should be replaced with proper transactions like invoices, bills, or payments.

 

Lastly, run the AR and AP aging reports and compare them to your General Ledger account balances to isolate the discrepancy amount.
