Question

What should I do when there is an unusual entry of RM 19 billion in my QBO Sales profile entered by QBO system. It mentions as I added, but It was not my work.

I found an unusual entry of RM 19 billion entered by QBO where the audit history claims that I entered it, whereas It was not my input. QBO also mention the description as Created by QB Online to adjust balance for deletion. Now this amount reflects in Sales giving a heart attack amount. Anyone faced similar issues?

If an account with a non-zero balance is inactivated, QuickBooks creates an adjustment entry to zero it out and balance your books. It also records the currently logged-in user at the time it's reactivated as the one who initiated the action.

This could be why you're seeing an unusual RM 19 billion transaction in your sales profile, which was automatically generated by the system but appears as your input. You can sort this out by deleting that automatic entry. This step will remove the unusual amount from your sales profile and restore the account balance to its original amount.

Here's how:

  1. Go to All apps and select Accounting, then Chart of accounts.
  2. Find the reinstated account and select Account history.
  3. Locate the last entry in the register with the description: Created by QB Online to adjust balance for deletion.
  4. Click the transaction and choose Delete.
  5. Select Yes to confirm.

You may also consult your accountant for expert guidance. They can help review your Audit Log to determine the account status before this change and resolve any initial or current errors.
