If a forwarded receipt bounces back with a message saying it wasn't received because your email isn't registered for forwarding, it's almost always a setup step that's missing rather than a problem with the email address itself. Here's how to get it working in QuickBooks Online.
Step 1: Set up your custom forwarding email
Each user needs their own custom forwarding address before QuickBooks will accept receipts from them.
- Go to All apps, then Accounting, then Receipts.
- Select Forward from email. If you've already created one, this shows as Manage forwarding email instead.
- Enter the email address you want to forward receipts from. QuickBooks adds @assist.intuit.com to the end of it.
- Select Next, confirm it's correct, then select Looks good and Done.
You can only register one forwarding email per user. If you need to change it later, go back to this section and select Update.
Step 2: Give the user permission to forward receipts
Registering the email address isn't enough on its own. The user also needs standard permissions with at least vendor access, and forwarding needs to be switched on for them specifically.
- Go to All apps, then Accounting, then Receipts.
- Select Manage forwarding email.
- Turn on the toggle next to each user you want to allow to forward receipts.
- Select Close.
This is the step that gets missed most often. If the address is registered but the toggle isn't switched on for that user, QuickBooks will still reject their emails as unregistered.
Step 3: Send it the right way
- Send from the exact email address you registered in step 1, not a different personal or work address.
- Attach the receipt as a PDF, JPEG, JPG, GIF, or PNG.
- Keep each attachment between 46KB and 20MB, and put only one receipt per file.
- If you use Gmail with a plus sign in your address (like name+receipts@gmail.com), that format may not register correctly. Use your plain Gmail address instead.
Once everything's set up, review your forwarded receipts under the Receipts tab so you can match or categorize them into your books.
