Why don't QuickBooks Online auto-add bank rules run automatically, and how do I trigger them without editing a rule every time?

Auto-add rules aren't running continuously in the background. They only kick in at specific moments: when you sign in to QuickBooks Online, when you upload a bank file, or when you create or modify a rule. That's exactly why editing an existing rule and hitting save seems to get things moving. Saving a rule is one of those trigger points, so it prompts QuickBooks to re-run all your auto-add rules against whatever's sitting in your Pending tab.

Check your Pending tab count first

There's one more thing worth ruling out before anything else: auto-add only works when your Pending tab has fewer than 300 transactions waiting. If you're over that limit, auto-add won't run at all until you bring the count down. Categorize enough of the backlog manually to get under 300, then auto-add should pick back up on its own.

Other ways to trigger auto-add without editing a rule

It's a fair thing to run into. The behavior looks like a bug, but there's a specific reason behind it. If you'd rather not open and re-save a rule every time, here are a couple of other ways to trigger auto-add without waiting:

  • Sign out and back in. Since auto-add rules run at sign-in, this alone can process anything that's built up.
  • Upload your bank file manually instead of waiting on the scheduled bank feed refresh, if your bank supports it.

Turn on auto-add for a rule

To turn on auto-add for a rule in the first place:

  1. Go to Accounting, then Rules.
  2. Select Edit on the rule you want to update.
  3. Turn on Auto-add under "Automatically confirm transactions this rule applies to."
  4. Select Save.

Still not matching after that?

If a specific transaction still isn't getting picked up even with auto-add on, check whether your rule's conditions are built around the description or the bank text. These are two different views of the same transaction, and a mismatch between the two is a common reason a rule doesn't apply. The bank text is exactly what your bank sends over. The description is a simplified version QuickBooks generates from it. By default, you'll see the description in your transaction list, but you can switch to bank text in your Bank transactions settings if you want to build rules against the exact original text instead.

I can help you make the banking rule work automatically in QuickBooks Online (QBO), @Jrod11.

 

Unexpected results when doing something in QBO are usually caused by cache or other browser issues. However, you mentioned that it's still happening even if you tried logging in using a different browser. 

 

A regular browser's cache stores temporary internet files from your browsing history. However, as it collects too many files, this may cause performance issues in your account.

 

I've got some steps to help fix this issue. First, you'll have to sign in to your QBO account using a private browser. This helps isolate the issue since it doesn’t store data in the cache. Here are the following keyboard shortcuts: 

 

  • Safari: Command + Shift + N
  • Mozilla Firefox: CTRL + Shift + P
  • Google Chrome: CTRL + Shift + N
  • Microsoft Edge: CTRL + Shift + P

 

If it works, here's how to clear cache and cookies to fix issues when using QuickBooks Online. Restart your browser right after. 

 

You can also try to log in to your account using other supported browsers (Firefox, Google Chrome, Safari, Microsoft Edge) if the steps above don’t work.

Hi.

 

I use Chrome and tried clearing cache, using a chrome incognitio/private tab, and then Microsoft edge (which I never used).

 

Made no improvement and auto-add doesn't automatically work.

 

I've seen other users complaining of this same bug. When will it be fixed?

We appreciate you for performing the recommended solutions provided by my colleague. In this case, we can go to the Banking page delete your bank rules, and add a new rule. Then, turn on Auto-add under Automatically confirm transactions this rule applies to in the Rules window. This can help refresh the system and clear any underlying issues that may have been causing the defective bank rule not to work as expected. Let me guide you on how:

 

  1. Click Banking from the left menu, then select Rules.
  2. Select the rules you want to delete.
  3. Under the Actions column, click the arrow down beside Edit and select Delete.
  4. Press Yes to confirm.

 

Once done, create the new rule by following the steps and details in this article: Set up bank rules to categorise online banking transactions in QuickBooks Online. Then, set up the Auto-add feature in your bank rules. Here's how: 

 

  1. Follow the steps to create a new bank rule.
  2. Turn on Auto-add under Automatically confirm transactions this rule applies to in the Rules window.
  3. Press Save.

 

After you create an auto-add rule, any transactions on the For review tab that meet the conditions are automatically added. Also, auto-add rules run when you sign in, upload a file or create or modify a new auto-add rule. After the steps, the transactions will go to the For Review tab.
