How do I transfer the company files from my Quickbooks Pro Desktop to a seperate user under a different license?

I have been keeping books for a company on my computer under my Quickbooks Pro Desktop license.  Someone else is going to take over those duties who is not associated with me.  Do I just give the a backup to load under their license?  Or does the backup have my license information associated with it?

You just need to create the backup file and give it to the new user. You will share the Admin password to restore the file later.

I'm here to provide information to help transfer the company files from my Quickbooks, @New2This4.

 

You can move your company files to another folder on your computer, on and off your network, or to another computer. The easiest way to do this, is to create and restore a backup company file.

 

If you move your company file to another computer, it won't affect your product license. Here's how:

 

  1. Before you start, make sure to install QuickBooks Desktop on the new computer.
  2. Follow the steps to create a backup company file on your original computer.
  3. When you save the backup file, give it a unique name so it's easy to identify. This also prevents accidental overwrites.
  4. Save the backup file somewhere you can easily find it, like your Windows desktop.
  5. Move the backup company file to your new computer. You can either put the backup on a flash drive or an external device. Or you can share it if your new computer is on the same network.
  6. Follow the steps to restore the backup on your new computer. Remember, it should have a unique file name.
  7. If you use payroll, download the latest tax table after you move your file.

The company file is for a client I will no longer be associated with, so I need to give the file to another bookkeeper who will open it under his license.  Since I have it as one of the companies on my QBPro Dektop, it has my license associated with it as well as my admin and email.  I do not want to share my license number with the new bookkeeper or my admin information.  How can I take that information off the backup I give him?

I have this same issue on QB Enterprise 2024 and I am the receiving/new bookkeeper for someone who is retiring. She has multiple companies under her quickbooks license and she has given me the company file, but she hasn't been able to set me up as the primary company admin or the payroll admin for the company file. She's also concerned that I will have access to her other company files. When she makes me the primary admin, will the company file still be attached to her Quickbooks license or will it change over to my QB license?

Hi there, Leyner. The company file is the database containing financial records, while the license is the subscription that grants access to the software. You can open any company file using your own license; once acquired, it functions independently of the previous owner's subscription.

Once you open the company file with your own license, it becomes a standalone entity on your computer. The previous owner's other companies remain associated only with her license. To ensure a smooth transition, the retiring admin should provide a clean copy of the data. Here is how:
 

  1. Go to File and then select Back Up Company.
  2. Click Create Local Backup. She gives you that backup file via a secure drive or cloud link.


On your computer,  you'll want to head to File and Open or Restore Company and select Restore a backup copy. Because you are opening it with your Enterprise 2024 license, the file will now be associated with your serial number and account.

To transfer Primary Admin access, the previous bookkeeper must first create a user profile for you with an Admin role. Once assigned, she can select her own profile in the User List and choose Transfer Primary Admin to complete the handoff.

For payroll authority, she should navigate to My Company within the Payroll Center to add your email as an Authorized User. From there, she can invite you to become the Primary Contact of the payroll account.

Finally, as the new Admin, please update the Company Information with your contact details. This ensures all multi-factor authentication (MFA) codes for 2026 tax filings and bank updates are sent directly to you.
