Question

I am trying to take payments with the Square Reader via Connector. Payments are showing as "Sales receipts" and not "Payments". I can't apply them to open invoices. HELP!

Hi there, Beacon. The Square Connector syncs transactions as sales receipts because Square processes point-of-sale payments immediately at the time of each sale.

After you connect your Square app to QuickBooks Online (QBO), it will automatically import your sales as both an invoice and a payment.
 

This means you won’t need to create anything manually in QBO. Your invoices will already show as fully paid, and the Square fee will appear as a separate transaction. The final amount, after Square's fee is deducted, will be deposited into your bank account. All these transactions will be automatically recorded in the platform. 
 

To keep your records clean and organized, I recommend categorizing the transactions imported from Square. Here’s how:
 

  1. Navigate to Accounting, then select Bank Transactions.
  2. Choose the account you wish to review.
  3. Click on the Pending tab.
  4. Locate the entry from Square.
  5. Review the transaction details:
    • If the category is correct, click Post to finalize.
    • If the category is incorrect, you can adjust it or create a new category before posting.


Once that’s done, you can delete the invoice you created to avoid duplicate entries.
