I do my admin work early in the morning and late at night. How do I schedule my invoices and estimates to be emailed at a reasonable time of the day?

Hi, Mludwig.

 

In QuickBooks Online, you can set up Recurring Transactions where you can schedule your invoices and estimates to be sent at specific intervals, such as every few months or days, based on your setup. However, you cannot schedule them for a specific time.

 

Here's how to set up a Recurring Transaction:

 

  1. Open your QuickBooks.
  2. Go to the Plus Create section, then Invoice.
  3. Head to Manage, then Scheduling.
  4. Turn on Make Invoice recurring.
  5. Enter a Template Name and under Type, select Scheduled.
  6. Scroll down and fill out the date you prefer.
  7. Once done, click Save template.

@JeraldR what if @mludwigg does not want the invoice to be recurring? What if they made a one-time invoice they want sent only one time five hours after they created it? How can they schedule this invoice to send in five hours?

We can set a one-time invoice to Send later and manually send it when you're ready, PBJ10.

 

Here's how to schedule an invoice for later delivery:

 

  1. Open the invoice you want to delay.
  2. Click Manage, then go to the Scheduling section.
  3. Enable the Send later option under More options.
  4. Select Save and close.

 

Here's how to locate and manually send the invoice:

 

  1. From the Dashboard page, select My apps in the left menu.
  2. Click Sales & Get Paid, then navigate to Sales transactions.
  3. Under Delivery method, filter by Send later.
  4. Select the invoice and click the Batch actions button.
  5. Choose Send and review the details in the Send Invoice window.
  6. Click Send to finalize.
