Question

Sometimes our guys use their own vehicles for a job. How can they turn on mileage tracking for those times, and off for other times?

You’ll have to check your driver’s user permission to track their mileage at any time, 1stop.craftsman.

 

In QuickBooks Online, only admin users can track mileage in the program. If you haven’t already, here's how to change their user permissions.

 

Whenever you’re ready, set up their own vehicle in QBO and allow location access on the mobile device. Here’s how:

 

  1. In QBO, navigate to My Apps and click on the Expenses & Bills dropdown.
  2. Then, select Mileage.
  3. From there, click Add vehicle and enter the vehicle’s information.
  4. In the Tax info section, select how you want to record your mileage for the year. Then, Save.

 

Once done, turn on automatic mileage tracking in the QuickBooks Online app. To do these:

 

  1. In your mobile device, go to Menu and tap Mileage.
  2. Hit Auto-tracking.
  3. Then, tap the switch switch switch_QBO_US_Ext_021623.PNGto turn on auto-tracking.

Additionally, if you're utilizing a third-party application like QuickBooks Time Elite to track employee trips, ensure to update their settings and permissions to enable time tracking within the app. This way, they can monitor their own mileage when using their own vehicles.
