Automatic mileage tracking in the QuickBooks Online mobile app works by detecting and recording your trip while the app is open on your device. Simply open the app when you start driving and QuickBooks will handle the rest. You don't need to actively monitor it throughout the trip!
Note: Mileage tracking is limited for QuickBooks Online Free and QuickBooks Online Lite users. To access full mileage tracking features, go to Settings, then Subscriptions and billing, and select Upgrade your plan.
Here's how tracking is designed to work:
- Make sure mileage tracking is turned on and your vehicles are added in QuickBooks Online. Keep in mind that only admin users can track mileage.
- When you start driving, open the QuickBooks mobile app and keep it open for the trip. The app will detect and record your miles automatically.
- When you arrive, open the app, go to the menu and select Mileage, then select the Unreviewed tab. Swipe left to mark the trip as Business or right for Personal, add a purpose, select your vehicle, and save.
If a trip didn't get recorded, no worries! You can always add it manually:
- Go to All apps, then Expenses & Bills, then Mileage.
- Select Add trip.
- Fill in the date, starting and ending locations, distance, and purpose.
- Select the vehicle you used.
- Select Save.
