Question

Payroll tax submission rejected by agency due to late payment submission when it has been submitted to intuit before 1:00 EST

Last week and this week my payroll tax submission through Intuit has been rejected by the agency citing that the payment was submitted after the 1:00 PM EST cut off. My submission to Intuit today was at 11:00 AM CDT or 12:00 PM EST. I have still not gotten notice of "agency accepted" and it is approaching 1:00 EST today. What is going on? This has never happened before even when the payment was submitted to Intuit at 5:00 PM CDT in all the years I have been using this payroll service.

    You're doing everything right — submitting before 1:00 PM EST — but Intuit may be delaying the relay of that payment to the agency, causing rejections. This is likely either a change in internal processing timing, a technical failure, or new stricter enforcement by the agency. Contact Intuit immediately, keep records, and be prepared to escalate if late penalties are being assessed.

    Thank you for the reply. I still have not seen any notification of my payroll tax submission being processed by intuit to the agency. Today is a holiday so.... Anyway, you were more helpful than Quickbooks.

    According to the IRS Pub. 4990 a EFTPS payment needs to be made by 8 PM ET and at least one calendar day before the tax is due. Intuit did not submit my tax deposit for 10/3/2025 that I sent to Intuit at 5:17 PM CDT or 6:17 EDT on 10/3/2025 until 10/7/2025 at 3:56 PM CDT. This is a full 4 days from when Intuit received the payment for processing. The reason for rejection was "payment after 1:00 PM EST. My payment is not a quarterly payment, it is weekly, and has always been processed when sent before 8 PM. I cannot find another cut off deadline for payments other than quarterly estimated taxes that are due that day. This rejection was not my fault. I still hold Intuit responsible for it and my audit trail documents support that. I guess I will have to go back to making my payments through EFTPS myself as I now cannot Intuit to get them to the taxing agency on time or admit that they dropped the ball.       I just had randomly had a client's payment reject around the same time but I didn't know the payment didn't post.  I did an email search and located the rejection email - not always easy to find.  The error was "the withdraw on date is invalid or a holiday/weekend.  I usually send those on the date recommended in QB.  In this case the payment was sent 9/15 and the payment was to post on 10/13.  To my knowledge 10/13 is Columbus Day which is not a federal holiday?  Besides the date was the date in the Intuit software.

       

        A few years the rejections were getting endemic occurring randomly due to "password errors" or so I was told.  Yet I could go to EFTPS using the same password and make the payment.  Didn't happen for a couple years until February this year another client deposit rejected for no apparent reason.

      If you're encountering a rejection notice, you'll need to follow the appropriate steps to resolve it. With yours, it sounds like you may need to correct the withdraw on date to the previous day.

       

      In the event it's rejected for a tax deposit or filing schedule being incorrect, this means your IRS/state tax deposit or filing schedule was changed by the agency and the payment or form was sent at the wrong time.
